Terms and Conditions

THE GIVEN TERMS AND CONDITIONS INCLUDE THE IMPORTANT INFORMATION PLEASE REQUESTING YOU TO READ CAREFULLY. THE LEGAL AGREEMENT SET OUT A LEGAL RELATIONSHIP BETWEEN YOU AND APEX ASIA HOLIDAYS PVT. LTD. YOU ARE RESPONSIBLE FOR THE TIMELY PAYMENT OF ALL SERVICES THAT YOU CHOOSE.

NEPAL BOOKING & PAYMENTS
To complete the booking process, please submit the booking form that you get on each trip that you want. After receiving the email we will send the confirmation. During the forming process, you have to deposit 25% of the price, which is non-refundable but it can use on your changing destination, dates, and packages. The remaining payment must have to clear before your trip departure from Kathmandu.
LAST-MINUTE BOOKING
We may accept the last-minute booking if there is a possibility we will accept your last-minute booking by paying the full payment. Apex Asia Holidays reserved the right to cancel your trip if the due amount is not clear in time.
CANCELLATION BOOKING CHANGES – NEPAL
A minimum of 7days is required before the departure date to cancel the trip. The cancellation has to write in an email, and then the notice commences after the day is received and labeled as canceled. If you cancel at the last minute (before 7days), 15% of the deposit will deduct from your deposit.
  • If the client ends a trip for any reason whatsoever, either happily, unhappily, or if you commit any unlawful act in the entire trip we will not make any refunds either used services or not used.
  • If you want to change the tour, please write an email. The amendment may not be guaranteed. It depends on the season and time.
  • If you are unable to travel on the tour date, you can postpone the tour or transfer your reservation to other with all documents which are the trip required. A fee of US Dollar 100 per person is required if you postpone or transfer this tour no less than ten days before the trip departure date.
PASSPORT AND VISAS- NEPAL
Please make sure your passport must have at least six months of validity. Nepalese visas can get from the Nepalese Consulate in your country or from immigration at Kathmandu Airport. VISA cost have to pay yourself.
BHUTAN AND TIBET BOOKINGS AND PAYMENTS
To confirm the trip of you must have to fill up the form 25 days prior. After receiving the email we will inform you as soon as possible. During the forming process, you have to deposit 25% of the price, which is non-refundable but it can use on your changing destination, dates, and packages. The remaining payment must have to clear before your trip before you reach Bhutan.
CANCELLATION BOOKING CHANGES – BHUTAN
A minimum of 14 days is required before the departure date to cancel the trip. The cancellation has to write in an email, and then the notice commences after the day is received and labeled as canceled. If you cancel at the last minute (before 14days), 25% of the deposit will deduct from your deposit.
  • If the client ends a trip for any reason whatsoever, either happily, unhappily, or if you commit any unlawful act in the entire trip we will not make any refunds either used services or not used.
  • If you want to change the tour, please write an email. The amendment may not be guaranteed. It depends on the season and time.
  • If you are unable to travel on booked dates. Unfortunately, there is no refund, transfer, or postponing options for the Bhutan trip. The Bhutanese government has strict Tourism policies, which do not allow.
  • If you are unable to travel to Tibet on the tour date, you can postpone the tour or transfer your reservation to other with all documents which are the trip required. A fee of US Dollar 100 per person is required if you postpone or transfer this tour no less than ten days before the trip departure date.
 
BHUTAN AND TIBET PASSPORT -VISAS

All clients must have a valid passport with at least 6 months validity from the return date. If you are unable to obtain the visa of Bhutan you have to send your passport details to Apex Asia Holidays for visa application of Bhutan. This information should have to be provided 45 days before the trip departure date.

TRAVEL INSURANCE
Travel insurance is mandatory before starting the trek. Generally, the standard policies often only cover medical evacuation. So that you have to make sure the policy you get covers all these activities that you are going to do and, also have to confirm the maximum elevation. Many policies require you have to pay for evacuation in Nepal upfront and will reimburse you after submitting the documents when you get back home. We suggest that you check your insurance policy and ensure that they will cover all costs upfront in the event of an evacuation. And also have to make sure your policy will pay up to US $ 5000. The hikers/ trekkers feel better once they get to lower elevation, but it is obligatory to get the medical reports and documentation for insurance claims. If your policies cover trip interruptions, then it will be helpful in the case of cancellation of domestic flights, and you end up having to book a helicopter or even have to reschedule your international flight tickets.
FITNESS
Trekking in Nepal Himalaya is a bit challenging. We advise you that before joining the trek you have to be minimum physical and also psychological fitness. Every trek is about to 7-8hrs daily walking with gaining elevation. We strongly encourage everyone to take a slow pace.You must have to collect some advice from your doctor before commencing any trip and you must have to inform us about your pre-existing medical conditions and/or disability that might reasonably be expected to increase the risk of you requiring medical attention that may affect your ability to travel.
CHILDREN
A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.
PUBLICITY
You agree that Apex Asia Holidays reserved the rights to use images and videos that you took during the trip without any compensation to you. It will be published in course of publicity and promotions throughout whatever media chose.
CHANGES TO YOUR HOLIDAY AND PRICING
Traveling with Apex Asia Holidays requires a degree of flexibility, good humor, and an understanding that modes of transport, accommodations, and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation, or postponement due to notorious weather in the Himalayan regions or other unpredictable circumstances such as landslides, road blockage, flood, snow, political unrest or delay arrival, etc. Apex Holidays is unable to refund under the above circumstances due to prior supplier arrangements. If possible we will always endeavor to provide you with an alternative or substitute trip of the same category. Apex Asia Holidays does not accept any responsibility for the loss of employment, delays, or compensation resulting from situations beyond Apex Asia Holidays control. We reserved the right to revise pricing rates posted in our marketing material, under any circumstances, or under the pressure of various external factors that are further than our control, for instance, changes in the exchange rate, government action, etc.
TRAVEL RESTRICTION
We are regularly updating the News about travel in Nepal in our stories post. Apex Asia Holidays also advises you to check the condition with the embassy and Nepal immigrations. And, we also suggest booking a flexible flight ticket, that can change if needed. Some flexibility and extra time may require for the Everest trekking region because of the unpredictable weather conditions of Lukla airport. We always put effort into ensuring your trip to Nepal runs smoothly.
FLIGHT DELAY LUKLA AND KATHMANDU
Rapidly changing and unpredictable weather conditions of mountain airports affect the schedule of aviation. Frequently Lukla flights are delayed and canceled for the day or many days in succession due to the weather. Due to the heavy air traffic, the airport upgrading Lukla flight may have from Ramechhap instead of Kathmandu. Ramechhap airport is about a 4hrs drive from Kathmandu. If the flights are canceled, generally reschedule for the following day or attempt to get a Helicopter but in that case, the clients are responsible for the additional costs of Helicopter flights. The helicopter cost is about US $ 400.
KEY POINTS
  1. Once you pay the deposit for the trek we will book the Lukla flight as soon as possible. Please send your passport details ASAP to get the earliest flight.
  2. If your flights are canceling due to the extreme weather, we will reschedule the ticket for the following day, but it is rarely possible to get the first flights because all these morning flights are booked months before.
  3. Getting a helicopter is also not easy because of giving priority to the rescue operation, prior booking commitment, and the weather itself. We always do our best to provide services for our guests, but you have to keep in mind everything will not be in our control.
  4. Helicopter costs may vary because of increasing demand, and the rates that we provide in Kathmandu may not be matched in the mountain.
EXTRA DAYS IN NEPAL
Especially if you are going to do any of the regions: Everest, Upper Dolpo, or Rara and you have an extra day would be perfect because due to the extreme weather conditions the domestic flights may be canceled and need to be rescheduled.
EXTRA COST AND EXCLUSION
Most of our packages are inclusive though we advise you to keep the extra budget for yourself.
  1. You need to pay visa costs in immigration at TIA. It helps to settle the unseen or unpredicted expenditure during the trek.
  2. Meals of the Kathmandu except breakfast are not included in the trip.
  3. Tipping cost for the guide and porter after the trek – you can make a tentative plan of 10% of the price of your trip price.
  4. If the flight is canceled, clients are responsible to pay the extra hotel nights and meals
  5. Drinking water is not included and tea/coffee is limited. So you need to buy drinks in the mountains (approx. up to $3 for water and $5 for tea/coffee).
  6. Clients also need to buy hot showers, Wi-Fi cards, even need to pay for charging phones, cameras, etc. The charging cost may be between $1 to $3 per hour.
LUGGAGE DELAYED ARRIVAL

Sometimes, the luggage is delayed in getting to Kathmandu, and have to start the trek at that case we can help you to retrieve the luggage and get it on the mountain. The clients must have to fill out the luggage missing form and get the receipt at the airport before departing the trek. And also that you have to grant permission to Apex Asia Holidays teams to collect the luggage on your behalf. In that case, if there is a need to pay for the porter, the client will be responsible.

ACCLIMATIZATION AND SICKNESS

We designed our itinerary with caring the altitude mountain sickness. The best way to decrease the chances of altitude sickness is to control the ascending speed and meals.

We humbly request our clients to do not hesitate to share any symptoms with the guide because tiny errors can be the death penalty. If you become ill and again you want to continue up to the mountain. In that case, you can either consult with your guide or directly phone or email at the office.

  • During the high season, we do have regular group departures in the Everest region. It is easy to join the next group after you recover. A porter or assistant guide will be with you until you meet the next group. We are subject to an additional cost of US $ 70 per day beyond the itinerary. And in the off-season, you may need to trek down to Namche with an assistant guide or porter. We will arrange the new private guide to meet your itinerary. For this service, we charge a certain amount.
If you are trekking except the Everest region, such as in the Annapurna or Langtang and more remote trek. We will do our best to make arrangements with extra charges. All of our guides are trained and experienced in dealing with AMS and Wilderness First Aid. Please respect the decision of your guide if he deems it unsafe for you to continue trekking.
SOLO TRAVELER

We always welcome solo travelers. Solo travel will get own room in the cities but during the high season, he/she might have to share the room in the mountain. We do not accept the booking of solo travelers for some restricted trekking areas like Upper Mustang, Upper Dolpo, and Manaslu Circuit Trek. Because these route permits require a minimum of two travelers. We will inform you if have to pay additional for the trip before you book.

GUARANTEED DEPOSITS AND PENALTY

We assure you that once you place a deposit it is secure for your future travel plan. No worries if your travel plan, time, the year change we can reschedule your trip as you want. Just you have to let us know at least a week before otherwise, we will take 10% of the amount for the amendment charge because we have already booked your services. You can change your destination and also gift it to anyone. Your deposit will never expire and can be applied to any of our packages.

  • Kindly inform us of any changes at least a week in advance. If your trip changes due to last-minute events please notify us ASAP so we can do our best to assist you.
  • Travelers are liable for any increases in price between the time they originally booked and the new trekking date.
  • If you do not contact us and miss your packages date, your deposit is not refundable.
